Quotes & Purchase Orders
If your school or organization needs a formal quote and purchase order before payment, you can generate one directly from your cart. Items ship as soon as the PO is approved; payment is captured afterward.
01What is a quote?
A quote is a formal price summary you can hand to your school or chapter's finance office. It locks in pricing for a set period (typically 30 days), reserves nothing in inventory, and lets your finance team issue a Purchase Order against it. Once you upload the PO, we ship right away — payment by credit card, check, or ACH/wire happens after delivery.
The whole flow lives under Account → Quotes & POs once you've created one.
02When to use quotes vs. instant checkout
- Use instant checkout if you're paying with a personal or department credit card — orders ship immediately.
- Use TPP Credits if your school has a pre-funded TPP contract — see the TPP Credits guide.
- Use a Quote / PO if your school's finance office requires a formal quote before authorizing payment, or you need an itemized document for grant reimbursement, or you want to be invoiced rather than charged up front.
03Creating a quote
- Add the items you want to your cart. Quote pricing matches cart pricing exactly — including any active member discounts.
- On the cart page, click Generate Quote (PO).
- Fill in the contact details: your name, your school / chapter / organization name, your billing email, and any notes for the finance office.
- Click Create quote. We'll generate a PDF and email it to you.
The quote shows up immediately under Account → Quotes & POs with status Awaiting PO.
05Uploading the purchase order
When your finance office issues a PO against the quote, come back to Account → Quotes & POs → Open and click Upload PO. You'll need:
- PO number — your finance office's tracking number for the purchase
- PO document — PDF, image, or scan of the signed PO
After uploading, the quote moves to PO submitted and SkillsUSA staff review it. Once approved, the order is created and shipping begins. You'll get a confirmation email at each step.
06Approval and shipment
When SkillsUSA staff approve your PO:
- An order is created on your account with status Approved · awaiting payment.
- Physical items ship from our warehouse (typical fulfillment window: 1-3 business days).
- Digital products (Pathful enrollment keys, Career Essentials assessments) become available immediately under Account → Enrollment Keys.
- You'll receive a payment-instructions email outlining how to remit.
07Completing payment
You can pay using any of the following:
Credit card
The order detail page has a Pay now button that opens a secure card form. Charges go through Braintree and you'll get a receipt within seconds. This is the fastest option.
Check
Mail your check to the address shown on the payment instructions email, written out to SkillsUSA. Include the PO number on the memo line so finance can match it quickly. Once received, our finance team marks the order paid and you'll see the status update on your account.
ACH / wire
The payment instructions PDF (linked from the email and from your order page) contains routing and account numbers. Send the wire and reply to the payment email with a confirmation number so we can match it. Same status flip as check.
08Common questions
Can I edit a quote after I've generated it?
No. Generate a new quote with the corrected items. The old quote will sit unused and expire on its own — leaving it in place doesn't cost you anything.
What if my finance office rejects the PO?
The quote stays in PO submitted until SkillsUSA staff either approve or reject it. If they reject (e.g. wrong remit-to information on the PO, missing signature), they'll email you with the reason and the quote returns to Awaiting PO. Fix the issue and re-upload.
How do I cancel a quote I no longer need?
Quotes you haven't submitted a PO for can be ignored — they expire on their own after 30 days and never charge anything. If you want it gone sooner, email customercare@skillsusa.org with the quote number.
Can I combine multiple quotes onto one PO?
Not currently — each PO ties to one quote. If you need a larger combined order, regenerate one quote with all the items.
What's the difference between this and TPP Credits?
TPP Credits are pre-paid funds your association/chapter has already deposited into a bucket — you draw from them at checkout. Quotes & POs are invoiced — your school pays separately after we ship. You can't mix the two on a single order.
