What your order status means

Different payment methods produce different status flows. Here's every state you might see, why you'd see it, and what to do next.

01Credit card orders

The simplest flow — your card is authorized and charged at checkout, then the order moves through fulfillment.

Paid
Card charged successfully. Digital items (enrollment keys) are issued immediately. Physical items are queued for shipping.
Pending Payment
Rare — usually means the card was authorized but the capture failed. Try paying again from the order detail page, or use a different card. Contact support if it keeps failing.

02TPP orders

TPP orders go through a verification step before funds are captured. Until SkillsUSA finance approves, the funds are held but not charged. See the TPP Credits guide for the full picture.

Pending Verification
Order placed; bucket holds in place. Available balance is already reduced by the held amount. Finance will approve or reject within 1-2 business days. Enrollment keys are NOT yet issued.
Approved
Finance approved. The hold became spent funds. Enrollment keys issued. Email confirmation sent.
Paid
Same as Approved with the order's totals reconciled. For your purposes, treat Paid and Approved identically.
Rejected
Finance declined. Held funds are released back to your bucket — no money was charged. You'll get an email with the reason. Reach out to your school's primary contact or to customercare@skillsusa.org if you think it was rejected in error.
Failed
Order placement failed before holds could be placed — usually because an item wasn't TPP-eligible or the bucket didn't have enough funds. SkillsUSA staff review and reach out. The order won't ship until it's resolved.

03Quote / PO orders

For schools paying by Purchase Order. Items ship after PO approval; payment happens afterward. See the Quotes & POs guide for the full flow.

Awaiting PO
Quote generated; finance hasn't issued a Purchase Order yet. Upload it from the quote detail page when ready.
PO Submitted
You uploaded a PO. SkillsUSA staff are reviewing. Approval usually within a business day.
Approved
PO accepted. Order created, items ship, enrollment keys issued. Awaiting payment.
Paid
We received your payment (CC, check, or ACH). Order is complete.
Rejected
SkillsUSA staff didn't accept the PO — usually a paperwork issue. They'll email you with the reason and the quote returns to Awaiting PO so you can fix and re-upload.
Expired
The 30-day window passed without a PO upload. Generate a new quote — pricing may have changed.

04Shipping & delivery

Once a paid order moves to fulfillment, you'll see shipping status updates separate from the payment status.

Not Shipped
Order is queued in our warehouse. Most orders ship within 1-3 business days.
Shipped
We've handed your package to the carrier. Tracking information is on the order detail page and in the shipping confirmation email.
Delivered
Carrier confirmed delivery. If you received a shipment notification but the package is missing, check with neighbors / the front office, then email us within 7 days so we can investigate.

Digital-only orders skip shipping statuses entirely — you'll find your enrollment keys under Account → Enrollment Keys as soon as the order is paid/approved.

05Cancelled & refunded

Cancelled
Order was cancelled before fulfillment. If you paid, a refund or hold-release was issued automatically (see below). Cancellations are usually requested by you or by customer care.
Refunded
A full or partial refund was issued back to your original payment method. Credit card refunds typically post within 5-10 business days. TPP charges are reversed instantly — funds return to your bucket as soon as the order is cancelled.

To request a cancellation or refund, email customercare@skillsusa.org with your order number. Cancellation may not be possible once an order has shipped — but partial refunds for damaged or missing items are always handled case-by-case.

06Where to find your orders

  • Account → Orders — every order tied to your account. Click any row for details.
  • Account → Quotes & POs — quotes you've generated, plus their resulting orders.
  • Account → Enrollment Keys — every Pathful redemption code you've been issued, across all your orders. Includes a Copy code button per row.
  • Account → TPP Credits (TPP-eligible users only) — your bucket balances and your TPP-paid orders.
